Camp Out Safely at School Camps

Many schools use their facilities during the summer months to host a variety of camps and activities including athletic camps and clinics, educational programs, environmental learning and cultural workshops. Such camps are effective for increasing opportunities for continuing education as well as for strengthening the school’s relationship with the community.

Some schools choose to sponsor their own camps, while others simply lease their buildings to outside organizations for use. There are benefits and drawbacks to each that should be considered, so it’s important to be aware of everything before you put your school in either position.

Naturally, maintaining control and managing risks is far easier when you own your programs. Contracting the program out, however, transfers much of the risk to the program owner. Unfortunately, it also leaves your school with less control over how everything is run. In cases where you contract, you’ll need to obtain certificates of insurance from the other organization that names your school as an additional insured on their workers’ compensation and liability policies. These policies should also include sexual misconduct and molestation coverage. Always be aware of the fact that, if your name and logo are on the promotional materials for the camp, you will be held accountable in a lawsuit if something goes wrong – regardless of who actually owns the camp.

Camp Rules to Follow at School

You’ll need to develop clear policies and procedures to follow during the course of the camp. All of your policies should focus on how you and your staff interact with minors. You’ll want to cover such things as:

  • Program/camp registration and gaining authorization from a central office overseeing the camp
  • Obtaining compliance for all personnel interacting with minors including
    • Conducting initial background checks as well as periodically rechecking records according to state laws or school policy
    • Providing general or specialized training, both initially and again at regular intervals throughout the course of employment
    • Obtaining formal agreement to follow all policies
  • Outlining requirements and implementing procedures for reporting all instances of suspected maltreatment or abuse of a minor to state and school authorities
  • Requiring the completion of legal forms for participation that contain:
    • Agreement to penalties for any form of noncompliance
    • Emergency contact information, medical information and complete permission to treat in medical situations
    • Photo/media releases
    • Waivers and releases of liability for participants

Policies and Guidelines for Onsite Camps

  • Baseline policies for camps and programs should be supplemented with the implementation of additional guidelines including:
    • Adult-to-participant ratios
    • Clear code of conduct for participants
    • Emergency planning
    • Information for parents on how to report concerns
    • Medication guidelines
    • Parental resources for communicating with their child during a program
    • Procedures for participant check-in and check-out
    • Reporting of injuries
